What’s Changed: Apply, Collect, or Download?
Until recently, every birth certificate applicant had to collect a printed copy in person from a Huduma Centre or Civil Registration office. Since 22 June 2026, that’s no longer the only option.

The application itself is identical wherever you are in Kisii — only the “exact place of birth” and pick-up answers change. Two constituencies, Bobasi and South Mugirango, are each split into two administrative sub-counties; that split is noted below where it matters for collection.
Bobasi Birth Certificate
Bobasi is the most populous and most subdivided constituency in Kisii, split into Nyamache and Sameta sub-counties. Nyamache Hospital is the area’s main public facility and a key referral point for the constituency. If your birth notification lists Nyamache Hospital, write it exactly as that — not “Bobasi Hospital,” which isn’t the facility’s registered name.
Bonchari Birth Certificate
Bonchari is administered as Kisii South sub-county. Nyamagundo Sub-County Hospital, based in Bomariba ward, is the main public referral point here. If your child was born at a smaller dispensary in Bogiakumu, Bokeira, or Riana wards, double-check the spelling against your printed birth notification before submitting — these smaller facility names are the most common source of mismatches.
Bomachoge Borabu Birth Certificate
Bomachoge Borabu is administered as Kenyenya sub-county, with Kenyenya Hospital serving as the area’s main public facility. Use the full hospital name as written on your notification rather than shortening it to just “Kenyenya.”
Bomachoge Chache Birth Certificate
Bomachoge Chache is the smallest constituency in Kisii by ward count, administered as Gucha sub-county. It has fewer registered health facilities than its neighbours, so if your child was born at a smaller centre here, confirming the exact facility name before applying is worth the extra few minutes.
Kitutu Chache North Birth Certificate
Kitutu Chache North is administered as Marani sub-county. It has the fewest health facilities of any constituency in Kisii, so most residents here travel into Kisii town for both hospital deliveries and certificate collection — making the new download option especially useful if you’re in this constituency.
Kitutu Chache South Birth Certificate
Kitutu Chache South hosts Kisii town itself and Kisii Teaching & Referral Hospital, the county’s main referral facility — it has more registered health facilities than any other constituency in Kisii. If your child was born at KTRH, write the name exactly as “Kisii Teaching and Referral Hospital” to match official records. This is also the most convenient constituency for collection, since Huduma Centre Kisii is right in town.
Nyaribari Chache Birth Certificate
Nyaribari Chache is administered as Kisii Central sub-county and is a major administrative and business hub. Bobaracho Dispensary serves part of this constituency — if listed on your notification, copy it exactly. Most residents here are close enough to Kisii town to collect at Huduma Centre Kisii without much travel.
Nyaribari Masaba Birth Certificate
Nyaribari Masaba is administered as Masaba South sub-county, known for its educational institutions alongside agribusiness. For home births in the more rural wards — Gesusu, Kiamokama — use the sub-location name on the application rather than a landmark description.
South Mugirango Birth Certificate
South Mugirango is split into Etago and Gucha South sub-counties and has more faith-based health facilities than any other constituency in Kisii. How the download option works
Once your application clears review, you no longer have to visit a Huduma Centre to get a physical copy. You can download the certificate yourself and print it wherever is convenient — useful for residents of constituencies like Kitutu Chache North or Bomachoge Chache who would otherwise have to travel into Kisii town.
How to download once approved:
- Log in to your eCitizen account (the one used to apply, or the parent/guardian account)
- Go to Civil Registration Services → E-Birth Certificate
- Enter the Notification Number from your birth notification (sent by SMS, email, or printed on the Acknowledgment of Birth Notification)
- Use Search Record to pull up the application and confirm the child’s, mother’s, and father’s details
- Once status shows approved, download the certificate and print it — at home, at work, or at any cyber café

The eCitizen Birth Certificate Application — Step by Step
This is the standard “Current Birth Certificate” application, used countrywide. Have your birth notification and ID details ready before you start.
The first screen lists what you’ll need: a scanned birth notification, ID for the applicant (if 18+), and ID for the parents. It confirms the application should be submitted at least 30 days after the birth.
State who is applying. If the child is under 18, apply from the parent or guardian’s eCitizen account, not the child’s. You’ll need a National ID or passport number for the applicant.
Choose the application type — almost always “New Birth Certificate without Amendment” for a first application — then enter the Entry or Notification Number, the child’s name, date of birth, and gender. Two fields people get wrong most often:
- Was the Child Born in a Health Facility? Answer YES for any hospital, health centre, or dispensary — even a small one. Only answer NO for a genuine home birth.
- Exact Place of Birth. If born in a facility, type the full official name exactly as it appears on the birth notification. If born at home, use the sub-location name, not a street address or landmark.
Choose to collect from Head Office Nairobi or locally. Select Kisii County, then your sub-county. The system shows the relevant Huduma Centre or civil registration office — for most of Kisii that’s Huduma Centre Kisii in town.
For both mother and father, you’ll be asked if their details are available. If yes, select the ID type (National ID, passport, alien ID, refugee ID, or “unable to validate”), then the ID number — the system runs a Search against government records to try to auto-match the name. If a parent’s details genuinely aren’t available, select NO; this is an accepted answer.
Upload a clear scan or photo of the birth notification, plus ID documents for the applicant and parents. PDF, JPG, and PNG are accepted. If you’ve lost the birth notification, request a duplicate from the health facility where the birth occurred.
Review every field carefully — you cannot edit after submitting. Accept the declaration, submit, and proceed to payment. You’ll get SMS and email updates as the application moves through review.
